Actions capture findings from forms, checklists, and investigations and turn them into tracked remediation. This article explains how to use My Actions on the Dashboard and the Actions dashboard to monitor and complete work.

Where actions come from
Actions are created automatically when a non-compliant finding is detected in a form, checklist, or investigation. You don't create actions manually — your job is to find them, action them, and close them out.
How an action moves through its lifecycle
Which path an action follows depends on whether the action template requires a review step.
Without review:
Open → Start Work → In Progress → Complete → Done
With review:
Open → Start Work → In Progress → Send for Review → Pending Review → Approve → Done
If a reviewer rejects the submission, the action returns to the assignee to resubmit:
Pending Review → Reject → In Progress → Resubmit → Pending Review
The buttons you see (Start Work, Complete, Send for Review, Approve, Reject, Resubmit) are controlled by the action template and your current role. You will only see the buttons relevant to your next step.
Two ways to access actions
There are two ways to access actions:

Open the My Actions panel on the home page to see your personal queue. Click any row to open the action and progress its workflow.
For a broader view — or if you manage a team — use the Actions dashboard instead.
Reading the Actions dashboard
KPI cards
The Actions page gives you a broader view of actions across your organisation. It includes summary cards, charts, filters, and priority items to help you monitor workload and open actions for follow-up.
At the top of the dashboard you'll see four metric cards:
Total — all actions in scope
Open — not yet started
Completed — done or approved
Overdue — past their due date
Tip: Click any KPI card to instantly filter the actions list to that group. For example, clicking Overdue shows only overdue actions.
Charts
Two charts help you spot trends over time:
Timeline chart — shows action volumes over time; useful for identifying spikes after audits or incidents
Company chart — breaks down actions by company or business unit; useful for comparing workload or compliance across sites
Critical and Urgent Actions table
Below the charts, the Critical and Urgent Actions table surfaces your highest-priority items. Check this first during triage.
Filter and change view
Use the filters at the top of the Actions page to narrow the results. Depending on your setup, this may include filters such as Company, Location, and User.
Toggle between Table, Card, or Map view using the view switcher.
Map view only displays actions that have location data attached. If the map appears empty, the actions in your current filter don't have location data.
Open an action
When you open an action, the side panel shows key details such as:
Action ID
Related record
Current status
Action type and priority
Responsible person and Reviewer
Start date, Due date, and Review date
Attachments, Comments, and the Audit log
From the action details panel, you can:
add comments to document progress
upload or review attachments
check the audit log for status changes and updates
use the action buttons to progress the action
Use the action buttons at the top of the side panel to move the action forward. Depending on the action status and your role, you may see buttons such as Start Working or Mark Complete. When you update an action, for example by adding a comment, the system shows a confirmation message to confirm the change has been saved. When you click Mark Complete, a Complete Action window may appear. Depending on configuration, this can require fields such as Implementation Details and Closure Comment before the action can move forward.
