Overview
Checklist Library is where your organisation builds reusable checklists with sections and questions. You can tag checklists, assign them to companies and locations, and publish them so form builders can embed them. This article covers what you see in the library and the main tasks you can perform when your role allows.
Who can use this
Content administrators maintain the catalogue. Form builders pick published checklists when they build forms. Safety managers care that criteria stay consistent. You need access on Content Management and the Settings area that includes Checklist Library; your administrator confirms exact labels in your tenant.
Before you begin
Open Settings, then Content management, then Checklist Library from the navigation your tenant shows.
Only published checklists are available to form builders. Drafts stay in the library until you publish.
Understand the layout
A Create New Checklist button, a search field, filter icon, and a total checklist count.
The table includes columns for Name, Status, Forms Used In, Company Structure, Site / Physical Location, Tags and row actions such as Edit, Delete, Duplicate, and Publish. Open a checklist to work on sections and questions in the detail experience your product shows.
Work with checklists
You can create a checklist, add sections and questions, reorder items where drag and drop is enabled, and link risks and controls to questions when your organisation uses that option. You can duplicate a checklist for a variation, assign companies and locations, and move a checklist from draft to published when it is ready. Depending on your organisation’s configuration, some fields or links may not appear.
Checklist versioning
Your organisation may use draft and published states so changes do not affect live forms until you publish. Follow the status badge and buttons on the checklist you are editing.
Best practices
Publish only when wording and assignments are final. Use clear titles so other authors can find the checklist. Keep sections short enough for field use.
Troubleshooting
Why can I not see Checklist Library?
You may lack Content Management access or the Settings entry for this library. Ask your administrator.
Why is my checklist not in Form Builder?
It may still be draft. Publish from the library when your process allows.
Why can I not edit a checklist?
Your tenant or author rules may make some content read only. Ask your administrator who owns the master copy.
