Overview

Lists & Variables holds reusable answer data and dynamic variables your forms consume. Lists power dropdown and choice questions. Variables can supply values such as the current year or site name when your organisation configures them. Content stays tenant-specific.

Who can use this

Content administrators maintain lists. Form builders attach lists to questions. System administrators handle dependencies your process describes. You need access on Content Management and the Settings entry for Lists & Variables.

Getting started

Open Settings, then Lists & Variables as labelled in your tenant. You see Create new list, search, a table or card toggle, and existing lists with counts and actions such as Edit, Delete, and Manage items.

Work with lists

Create a list, then open Manage items to add, edit, delete, or reorder entries when your role allows. Changes flow to any form question that uses the list as an answer source. Some lists from another tenant or root copy may be read only; the UI disables edit when that applies.

Dynamic variables

Your organisation may offer variables that forms resolve at runtime. Use the controls the product provides to create or edit variables and test them in a sandbox form when available.

Using lists in forms

In Form builder, pick list-backed question types and bind the list your administrator published. If a list disappears from pickers, confirm it still exists and that you still have access.

Best practices

Name lists for the business meaning, not internal codes. Keep item labels stable so historical responses stay readable. Review dependencies before you delete.


Troubleshooting

Why can I not open Lists & Variables?
You may lack Content Management access. Ask your administrator.

Why is edit disabled?
The list may be owned by another tenant or be read only by policy.

Why did my form choices not update?
The form may point at a different list, or cache may need a refresh. Reopen the form designer.
