Maintain reusable questions in the Question Library

Overview

Question Library is a tenant-wide catalogue of reusable form questions. Each entry stores the prompt, answer type, required flag, and type-specific options. Form builders attach library questions when they assemble forms so wording stays consistent. You work under Settings in the content management area your tenant labels for this library.

Who can use this

Content administrators maintain entries. Form builders consume them while authoring. You need access on Content Management and the settings feature area that exposes Question Library.

Getting started

Open Settings, then follow the path your product shows to Question Library (for example Libraries & templates). Confirm you see the Question Library heading and description. Use Add question to create a new entry or open the row Actions menu to edit an existing question.

Understand the layout

You typically see search, a visibility filter (Visible, All, Hidden), and a table with Question title, Answer type, Status (Active or Hidden), and Actions. Large libraries may show paging or guidance to narrow search first.

Create and edit questions

Complete label, required, and answer type fields in the sheet the product opens. Save applies your changes. Hidden status keeps historical responses while hiding the item from new picks when your process uses that pattern.

Visibility

Toggle between Active and Hidden when you need to retire a question from new forms without deleting past data. Your organisation may have extra approval steps.

How questions reach forms

Authors pick library entries inside Form builder flows. If a question never appears in pickers, confirm it is Active and that your account still has access.

Best practices

Reuse one library entry instead of duplicating text across forms. Hide rather than delete when history matters. Keep answer types stable after go-live.


Troubleshooting

Why can I not open Question Library?
You may lack Content Management access. Ask your administrator.

Why is save disabled?
Required fields may be empty, or you may be read only for that row.

Why can form builders not see my new question?
It may still be Hidden, or they may lack permission to the library.
