Project Communications

Ensuring Effective Rollout Across Your Organisation

Written by Jessica Serena

Overview

Implementing Forwood One is more than deploying a system - it requires clear, structured communication to ensure awareness and adoption across all levels of your organisation. This guide outlines the essential steps to establish a Forwood One project communications strategy.

1. Develop a Communications Plan

A well-structured communications plan ensures consistency and clarity in messaging. Consider these communication streams:

  • Project Communications: Updates on Forwood One implementation progress.

  • Operational Awareness Communications: Daily Forwood One messaging within routine workflows, such as Management meetings, Safety Meetings, organisation wide updates, Intranet, other internal social channels like Whatsapp.

  • Governance Communications: Leadership engagement in Forwood One oversight. "If it's important to your senior leaders, it will be important to you!"

  • Visual Messaging: Use of risk icons, pre-start boards, posters, and signage to reinforce critical risk awareness.

2. Define the "Why" of Forwood One Implementation

Before rolling out Forwood One, ensure all stakeholders understand its importance:

  • Obtain a video message from the CEO explaining why Forwood One is so important to them and other senior leaders.

  • Provide a CEO written message that can be distributed in all training and communications.

  • Provide HSE statistics to reinforce the need for Forwood One adoption.

3. Identify Key Communication Roles

Assign responsibilities to ensure effective information flow:

  • Operational leads to manage stakeholder communications.

  • Communications team members for each department to maintain autonomy over their messaging.

  • Leadership involvement to drive engagement and adoption.

4. Establish a Timeline for Forwood One Communication Rollout

Set a completion date for full stakeholder communication, with milestone dates and responsibilities mapped out on a timeline. This ensures alignment across all teams and promotes accountability.

5. Incorporate Forwood One into Training and Onboarding

Modify existing training and induction programs to include Forwood One principles:

  • General induction for new hires.

  • Area-specific inductions for different work locations.

  • Visitor inductions to ensure safety awareness.

6. Design and Execute Content for Communication Platforms

Ensure content aligns with Forwood One messaging across multiple platforms:

  • Email notifications to inform stakeholders of the rollout.

  • Banners and posters to reinforce key messages.

  • In-field conversations for frontline engagement.

  • Leadership and HSE meetings to maintain oversight and commitment.

7. Track Stakeholder Awareness and Engagement

Create a register to monitor who has received Forwood One communications. Stakeholder groups include:

  • Operators/Maintainers

  • Supervisors

  • Superintendents

  • Managers & General Managers

  • Senior Leadership (Offsite)

  • Functional/Support Teams

  • Contractors

8. Implement a Cascading Communication Plan

Tailor communication methods for different levels of the organisation:

  • Email updates for corporate stakeholders.

  • Face-to-face meetings for operational teams.

  • Pre-shift meetings and toolbox talks for frontline engagement.

  • Leadership meetings for strategic oversight.

9. Establish a Communication Sign-off Process

Ensure all team members acknowledge Forwood One rollout communications. Options include:

  • Attendance registers at meetings.

  • Digital acknowledgements via internal systems.

  • Record-keeping in a central database.

10. Centralise Communication Materials

Store all materials in a shared repository for easy access:

  • Forwood One FAQs

  • Posters and banners

  • Training materials

11. Leverage External Platforms for Forwood One Messaging

Communicate your organisation’s Forwood One commitment externally:

  • Company website

  • Social media (LinkedIn, Facebook, etc.)

  • Industry forums and publications

12. Ensure High-Risk Areas Are Clearly Marked

Identify key locations for Forwood One signage and install risk awareness materials:

  • Main worksite entrances

  • Workshops and equipment areas

  • Pre-shift meeting locations

  • Remote work areas (portable signage options)

By following this structured approach, your organisation will ensure a smooth and effective Forwood One rollout, driving safety and operational excellence. For additional resources or templates, or if you have any questions or for additional support, contact your Forwood Customer Success Manager.
