Setting Up Users

Setting up users in Forwood One ensures that the right people have the right access to the portal and mobile app, based on their role and assigned locations.

Users can be created:

  • Individually (manual setup), or

  • In bulk (using an import template)


Who is Responsible for User Setup?

  • During the Project Phase

    • Forwood sets up users for the Project Team

    • Project Team users are created with Admin permissions

  • Before Go-Live

    • Client Site Admins take over responsibility for managing users

    • Site Admins can create, update, and manage users independently


Creating Project Team Users (Handled by Forwood)

Forwood Support will create Project Team users on your behalf.

What you need to do:

  1. Complete the User Import Template with details of your Project Team members

  2. Upload the completed file via:

Once received, Forwood will create these users in the Forwood ID portal.

⚠️ Important: Fields marked in red are mandatory and must be completed.


Creating and Managing Users (Client Site Admins)

Any user with the Site Admin role can access the User Management tab in the Forwood ID portal.

From there, Site Admins can:

  • Create new users

  • Update existing users

  • Manage access via manual or bulk processes


1. Manual User Creation

Use this option when adding a small number of users.

  • Enter user details directly in the Forwood One portal

  • Assign the correct role and site access


2. Bulk User Create

Recommended when adding many users at once.

Steps:

  1. Complete the User Import Template with:

    • User details

    • Roles and access levels

  2. Upload the completed template in the User Management area

3. Updating Existing Users

User details and access can be updated in two ways:

  • Manually (editing individual user profiles)

  • Via bulk update (using import tools)


Training for Site Admins

Forwood provides User Management training as part of the Site Admin training session.

This training:

  • Covers all user administration tasks

  • Is delivered by Forwood

  • Can be recorded and shared internally within your organisation
